Privacy Policy

This Privacy Policy describes how Coeus ("we", "us", "our") handles your information when you use the Coeus desktop application and related services.
The short version
Coeus is a local-first application. Your notes, files, and index data stay on your computer. We do not have access to your notes or the content of your conversations with AI providers. Optional anonymous desktop analytics are off by default and only run if you choose to enable them.
What Coeus stores and where
On your computer only:
- Your Markdown notes, stored as plain files in a folder you choose.
- A local SQLite index built from your notes for search. This index is a derived cache and can be deleted and rebuilt at any time.
- Optional embedding data for semantic search, stored locally.
- Imported files (PDFs, images, audio, video) copied into your notes folder.
- Application preferences and settings.
- AI provider credentials, stored in your operating system's secure keychain (macOS Keychain, Linux secret service).
We do not have access to any of the above. This data never leaves your machine through Coeus unless you explicitly choose to use a cloud-based AI provider.
AI providers and third-party services
Coeus connects to AI providers that you configure. When you send a message through Coeus, the content of that message, which may include excerpts from your notes used for context, is sent to your chosen AI provider.
Coeus supports multiple provider types including Claude Code, Codex, Anthropic API, OpenAI-compatible endpoints, Ollama, LM Studio, ACP agents, and others. Each provider has its own privacy policy and data handling practices. We encourage you to review the privacy policy of any AI provider you connect to Coeus.
If you use a fully local AI provider such as Ollama or LM Studio, no note content leaves your machine at all.
If you use a cloud-based AI provider, the data sent to that provider is governed by that provider's privacy policy, not ours. Coeus does not store, intercept, or log the data exchanged between you and your AI provider.
Telegram integration
If you choose to connect a Telegram bot to Coeus, messages you send to your bot are received by the Coeus application running on your computer through the Telegram Bot API. This means:
- Your messages pass through Telegram's servers to reach your desktop. Telegram's privacy policy applies to that transmission.
- The bot is a 1:1 private connection using your own bot token.
- Coeus does not operate a server that receives or stores your Telegram messages. The connection runs from Telegram to the Coeus app on your machine.
Transcription
Coeus supports audio and video transcription through three methods:
- Local Whisper: Transcription runs entirely on your machine. No audio data is sent anywhere.
- OpenAI transcription API: If you choose this option, audio data is sent to OpenAI for processing. OpenAI's privacy policy applies.
- Groq transcription API: If you choose this option, audio data is sent to Groq for processing. Groq's privacy policy applies.
Website
The Coeus website at usecoeus.com is served through Cloudflare. Cloudflare may collect basic diagnostic and traffic data such as your IP address, browser type, country of origin, and pages visited. This data is used for debugging site issues, security protection, and understanding general traffic patterns. It is not used for advertising or sold to third parties. We do not run additional third-party analytics or tracking scripts on the website beyond what Cloudflare provides.
Optional desktop analytics
During the beta, Coeus may ask whether you want to share anonymous desktop usage analytics. This is optional and off by default. If enabled, Coeus sends coarse product events that help us understand whether setup succeeds, which screens and workflows are used, which provider type is selected for an AI run, and whether AI runs finish or error.
Desktop analytics never include your notes, prompts, AI responses, file paths, URLs, provider payloads, API keys, model names, or personal identifiers. You can turn analytics off at any time in Settings.
Information we do not collect
To be explicit:
- We do not collect desktop telemetry or usage analytics unless you explicitly opt in.
- We do not collect crash reports.
- We do not read, access, or store your notes.
- We do not track what you ask AI providers or the content they return.
- We do not sell or share any data with third parties.
- We do not use your data for advertising.
Data you control
Because Coeus is local-first:
- Your notes are plain Markdown files on your filesystem. You can read, edit, copy, move, or delete them with any tool at any time.
- The local index and database can be deleted and rebuilt.
- AI provider credentials can be removed through the application settings or directly from your operating system's keychain.
- Uninstalling Coeus does not affect your notes folder.
Children's privacy
Coeus is not directed at children under the age of 13. We do not knowingly collect information from children under 13.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. We encourage you to review this policy periodically.
